Southampton Hot Tub Delivery Procedure

Below is an outline of Southampton Hot Tub’s Delivery Procedure from the time of purchase to the completion of your hot tub orientation. 

Pre-Delivery Communication: 

Confirm delivery details with the customer, including the delivery date, time window, and any special instructions. 

Provide the customer with guidelines for site preparation, ensuring the designated area is ready for the hot tub's installation. 

Pre-Delivery Site Inspection (if needed): 

Conduct a pre-delivery site inspection to ensure that the delivery team is aware of any potential challenges or obstacles, if necessary. In most cases, customers will provide photos and videos of their property. 

Verify that the pathway to the installation site is clear and free from obstructions. 

Delivery Team Preparation: 

Ensure the delivery team is well-trained on the product specifications and installation requirements. 

Equip the team with all necessary tools, equipment, and safety gear. 

Hot Tub Inspection: 

Conduct a thorough inspection of the hot tub before loading it onto the delivery vehicle. 

Document any observations and communicate them to the customer. 

Loading and Transportation: 

Use appropriate lifting equipment to load the hot tub onto the delivery vehicle securely. 

Secure the hot tub during transportation to prevent shifting or damage. 

Customer Arrival Notification: 

Notify the customer when the delivery team is en route to their location. 

Provide an estimated time of arrival.

Delivery Team Arrival: 

Greet the customer professionally and confirm the installation location. 

Conduct another site inspection to ensure the pathway is still clear. 

Unloading and Placement: 

Carefully unload the hot tub and place it in the designated installation area. 

Use lifting equipment to avoid damage to the hot tub or the customer's property. 

Installation: 

Follow the manufacturer's guidelines for hot tub installation. 

The final electrical connection must be conducted by a professional and licensed electrician. 

Documentation and Sign-Off: 

Have the customer sign off on the delivery and installation, confirming that the hot tub was received in good condition and installed properly. 

Clean-Up: 

Clean up any packaging materials or debris left from the delivery and installation process. 

Leave the installation area in the same condition it was found, or better. 

Customer Orientation: 

Once the hot tub is connected and filled, we provide the customer with a full orientation from one of our service technicians on hot tub operation, maintenance, and safety features. This is a separate scheduled visit after the delivery day. 

Answer any questions the customer may have. 

Follow-Up: 

Follow up with the customer to ensure the hot tub is functioning correctly and address any additional questions or concerns. If there are any questions or concerns to our internal procedure, please let us know. We are happy to discuss at length.

Terms and Conditions of Sale for Southampton Hot Tub

Agreement to Terms and Conditions: 

This Agreement ("Agreement") is entered into between Southampton Hot Tub ("Seller") and the undersigned buyer ("Buyer"). By purchasing the hot tub from Southampton Hot Tub, the Buyer expressly agrees to all the terms and conditions outlined herein. 

Sale of Hot Tub: 

The Seller agrees to sell, and the Buyer agrees to purchase, the hot tub described in the sales agreement (hereinafter referred to as the "Product"). By signing this agreement, Buyer understands that this sale is final (no modification.) Seller shall transfer goods and Buyer shall accept and pay the balance upon delivery. All deposits are non-refundable. 

Price and Payment: 

The Buyer agrees to pay the total purchase price as specified in the sales agreement. Payment shall be made in the manner and within the time frame outlined in the agreement. In the event of late payment, the Seller reserves the right to charge interest on the overdue amount at a rate of 5% per month. A $50 charge is assessed on returned checks. Delinquent payments may be collected electronically. 

Non-Returnable: 

The Buyer acknowledges and agrees that the purchased hot tub is non-returnable. Once the sale is complete, no refunds or returns will be accepted, except as expressly provided for in the manufacturer's warranty. 

Manufacturer's Warranty: 

The hot tub is covered by the manufacturer's warranty, the details of which are provided separately. The Buyer agrees to adhere to the terms and conditions of the manufacturer's warranty and to contact the manufacturer directly for warranty-related matters. The Seller disclaims any and all liability beyond the scope of the manufacturer's warranty.

Delivery and Installation: 

The Seller shall make reasonable efforts to deliver and install the hot tub within the specified time frame, but delays may occur. The Buyer acknowledges that delivery and installation dates are estimates, and the Seller is not liable for any damages or losses incurred due to delays. The Buyer is responsible for inspecting the hot tub upon delivery and reporting any damages to Southampton Hot Tub within a reasonable time frame. 

Site Preparation: Prior to delivery, the Buyer is responsible for ensuring that the designated site for the hot tub is appropriately prepared. This includes, but is not limited to, a stable and level foundation, adequate electrical supply in accordance with the manufacturer's specifications, and any necessary permits required by local authorities. Southampton Hot Tub shall not be liable for any damages or delays arising from inadequate site preparation. 

Surface and Pad Requirements: 

Spas require a uniform surface that is firm and flat. (Ex. 4” thick cement slab, properly designed deck, gravel bed, EZ Pad, etc.) See the manufacturer’s instructions. The bottom of the spa must be completely in contact with the foundation you have prepared. Any gaps under the spa may cause damage not covered under warranty. Sprinklers near the spa should be adjusted/capped off. Consult a licensed contractor before installing any type of platform. 

Electrical Requirements: 

Electrical hook-up is the responsibility of the buyer and should be performed by a licensed electrician. All electrical and installation work must comply with National Electrical Code and any other building, city, county, etc. code requirements. Most spas need a dedicated 220-volt/50-amp, GFCI-protected power source. For more information and for 110-volt spas, please refer to the manufacturer’s manuals. 

Ownership and Risk of Loss: 

Ownership of the hot tub and the risk of loss pass to the Buyer upon delivery. The Buyer is responsible for obtaining adequate insurance coverage for the hot tub.

Governing Law and Dispute Resolution: 

This agreement shall be governed by and construed in accordance with the laws of Pennsylvania, without regard to its conflict of law principles. The parties agree to settle any controversy arising out of this agreement in small claims court in the county where Seller is located. If the amount of any claim exceeds the jurisdictional limits of small claims court in Seller’s home state, parties agree to submit a claim to binding arbitration in the county where the Seller is located. Judgment upon the award rendered in the arbitration shall be final and non-appealable. 

Limitation of Liability: 

To the fullest extent permitted by law, Southampton Hot Tub shall not be liable for any indirect, consequential, special, or incidental damages arising out of or in connection with the sale or use of the hot tub. 

Safety Clause: 

The Buyer acknowledges the importance of adhering to all safety guidelines and instructions provided by the manufacturer. The Buyer agrees to use the hot tub in a safe and responsible manner, ensuring that all users are aware of and follow safety precautions. Southampton Hot Tub is not liable for any injuries, damages, or losses resulting from the improper use of the hot tub. 

Sales Agreement: 

This agreement refers to the purchase of your hot tub or related product through Southampton Hot Tub. It is understood that Southampton Hot Tub is responsible for servicing your manufacturer’s warranty. 

Color Variance: 

Minor color variances may exist since this is a custom-made product.
